Exhibit Pricing & Assignment Procedures


Indoor Exhibits

Indoor exhibits will be located in Halls 4, 5 and 6 at Palexpo. A minimum of 36 sq meters (6m by 6m island stand) is required to reserve raw exhibit space. Exhibits smaller than 36 sq meters must reserve shell scheme space.

Lottery Three & Four
Raw Space: $3,550 per 3m by 3m exhibit space reserved
Shell Scheme: $4,350 per 3m by 3m exhibit space reserved

Early Payment Discount

EBACE Management offers a special discount of $50 per 3 m by 3 m indoor exhibit space reserved to companies making full payment – on a nonrefundable basis – by December 13, 2013. Exhibitors submitting applications after the December 13, 2013, deadline are not eligible for this discount.


Indoor Exhibit Space Assignment Process

Exhibit space is assigned based on the lottery procedures below. Exhibit applications must be submitted, with payment in full, by December 13, 2013, to be included in lottery drawings.

The EBACE2014 priority lottery live placement will take place January 6–17, 2014.

For all exhibit applications and payments received by December 13, 2013, EBACE Management will send email confirmation of receipt of payment, and identifying the exhibitor’s lottery placement category.

Lottery One
A minimum of 20 contiguous 3 m by 3 m exhibit spaces (180 sq. m) is required. All original airframe manufacturers (OEMs) displaying an aircraft either inside their exhibit space or on the static display will be placed first, before non-OEMs.
Lottery Two
A minimum of 20 contiguous 3 m by 3 m exhibit spaces (180 sq. m) is required.
Lottery Three
A 10-year continuous history of exhibiting at EBACE is required.
Lottery Four
This category applies to all other exhibitors that do not meet the criteria above, but have submitted applications with payments in full by December 13, 2013.

Companies who submit payments and applications after the December 13, 2013, deadline will be placed in the order that they are received after Lotteries 1- 4 have been placed.

Once lottery category has been determined for all eligible exhibitors, each exhibitor will receive via email:

  • Confirmation of participation in the live online exhibit space placement lottery or stand choices via proxy
  • Detailed timeline for live exhibit space placement lottery
  • Information about the live, online stand selection process
  • Reminder of permissible stand configurations and hanging sign rules

Following the placement of each exhibitor, exhibitors will receive via email:

  • Stand confirmation, including stand number
  • Exhibitor Service Center login

Shell Scheme Space – Inline Stands

Shell scheme inline stands contain one or more 3m by 3m units in a straight line with stands on either side and/or behind its back wall. All shell scheme stands include the following:

  • Solid white back wall and side wall panels, 2.5 m (8 ft) high
  • White metal crossbars (to affix fascia name board and/or spotlights when purchased separately by exhibitor)

The maximum permitted height of exhibit materials, components and identification signs is 2.5m (8 ft).


Raw Space

A minimum of 36 sq meters (6m by 6m island stand) is required to reserve raw exhibit space. Full use of the purchased raw floor space is permitted. No inline “back-to-back” stands will be sold as raw space, so please plan accordingly.

Types of raw space locations:

Perimeter Island Stand

A perimeter island stand is located around the perimeter of the exhibit hall.

  • Permitted to be greater than 4.6m in height.
  • Permitted to contain perimeter wall structures with approval by EBACE Management
  • Perimeter wall structures may be unfinished on sides not visible to attendees.
  • Exhibit materials, components, identification signs and hanging signs will be permitted to a maximum height of 7.6m, provided written approval is requested from EBACE Management by March 31, 2014.

Non-Perimeter Island Stand

180sqm or larger – A non-perimeter island stand over 180sqm has aisles on all four sides.

  • Hanging signs, materials or components, with the exception of lighting trusses, are NOT permitted above stand spaces.
  • Perimeter hard walls occupying 50% of the stand space are NOT permitted.
  • Exhibit materials, components and identification signs will be permitted to a maximum height of 4.6m, provided written approval is requested from EBACE Management on or before March 31, 2014.

Less than 180sqm – A non-perimeter island stand under 180sqm

  • Hanging signs, materials or components, with the exception of lighting trusses, are NOT permitted above stand spaces.
  • Perimeter hard walls occupying 50% of the stand space are NOT permitted.
  • All ground-supported exhibit materials, components and identification signs will be permitted to a maximum height of 6.1m.

Drawing Approval

For all raw exhibit space reserved, exhibitors submit their scaled floor plans for approval to EBACE Management by March 31, 2014.

Scaled plans must include:

  • Event name: EBACE2014
  • Stand number
  • Maximum number of occupants allowed
  • Structural engineer’s stamp certifying that the platform can bear the maximum occupant load

Drawings for tents, awnings and canopies should include detailed plans showing size, height, location, anchoring areas and certification that the material is flame retardant.

Certain stands may require fire watches, smoke detection devices, fire extinguishers, multiple exits, etc., as required by fire prevention officials.

All exhibitors who are occupying island spaces, regardless of size must submit one copy of a sealed and scaled floor plan (with front and side elevations) to:

If your exhibit display requires a double-deck structure and/or rigging is involved, regardless of size, you must also submit a copy of a sealed and scaled floor plan (with front and side elevations) to:

Static Display of Aircraft

The EBACE Static Display of Aircraft will be held at Geneva International Airport, adjacent to Palexpo.
EBACE static display space is purchased in 3m by 3m – 9 sqm – increments. Aircraft movement fees are determined based upon the size of the aircraft.

Prices shown are for aircraft parking space only. Fees for additional services such as electrical service, aircraft GPU and temporary air-conditioners will be billed separately by the EBACE-appointed service provider.

Aircraft mock-ups are not permitted on the static display. Only actual aircraft are permitted. Exhibitors should plan accordingly and include mock-ups with their indoor exhibits.

Methods of Payment

Company checks and bank wire transfers are the preferred methods of payment. Credit card payments are accepted, however, payments received in excess of $20,000, will be subject to a 3% processing fee.

All payments for EBACE should be made in U.S. dollars. When payments are made by wire transfer, please include a $30 wire processing fee. All Exhibitors and Co-Exhibitors must be current on all accounts with EBAA and NBAA and paid in full for their exhibit space in order for space to be assigned.

Please contact the EBACE Exhibits Department at [email protected] to secure an invoice number prior to making a bank wire transfer. Wire transfers should indicate: exhibitor name, invoice number and reference for payment (i.e., exhibit space, static display space, sponsorship). All wire transfers for EBACE should be made in U.S. dollars and should be net of all bank fees.


Cancellation Policy

All payments for EBACE are non-refundable and non-transferable. EBACE Management considers all reductions in exhibit size as cancellations; therefore payment made for original space is non-refundable and non-transferable. Please plan accordingly when submitting an exhibit application.

If indoor exhibit space is not occupied by 15:00 on Monday, May 19, 2014, EBACE Management will consider it canceled by the exhibitor with no refund or transfer of payment, and will use such space as it deems appropriate. This rule must be strictly enforced, since lateness in setting up causes difficulties with overnight cleaning crews and jeopardizes the opening of the exhibits.
