EBACE2024 Exhibitor-Hosted Stand Event Form

Exhibitors are encouraged to host customer events at their stands on show days. If you plan to host an event for badged attendees on Tuesday, 28 May or Wednesday, 29 May, use this form to obtain prior approval from EBACE Show Management.

Exhibitors hosting stand events after exhibit hours must pay a $500 fee.

Security Requirements

  • All exhibitors hosting stand events must provide the appropriate level of security to ensure that aisles remain passable and guests remain within the exhibitor’s exhibit areas.
  • Exhibitors are required to hire one security guard for each 75 guests expected. The guest count is based on your estimated peak attendance provided on this form.
  • Security must be in place beginning 15 minutes before the event and continuing 15 minutes after the event.
  • Security guards must be hired through the EBACE official security company, Securitas SA, contact: +41 (0) 22 809 48 48 or via email at [email protected].
Exhibitors must send confirmation of their security orders to [email protected]. Events will not be approved without a copy of the security order.

Entertainment

  • Exhibitors are required to gain approval for all entertainment during the requested stand event, including music of any kind.
  • Exhibitors may not have live music playing until after exhibit hours.
  • Exhibitors with live music must coordinate the arrival of musicians and equipment with EBACE Management at [email protected].
  • Noise levels are not allowed to surpass 80 decibels during exhibit hours.

Additional Considerations

  • Events on press day and opening day must not coincide with official EBACE events, including media events and the keynote address.
  • All catering, guests and entertainment must fit within and remain within purchased stand space during the entirety of the event. Catering must be ordered through Palexpo Catering, the exclusive caterer for EBACE2024. Details can be found in the Exhibitor Resource Center.
  • All guests must be badged EBACE2024 attendees. No guests will be allowed on the exhibit floor without official EBACE badges.
  • EBACE hotel shuttle buses will stop service at 18:00 on Tuesday, 28 May and Wednesday, 29 May.
  • EBACE2024 exhibit hours are 10:00 to 17:00 on Tuesday, 28 May and 09:00 to 17:00 on Wednesday, 29 May.
  • After-hour events may only run until 18:00 on Tuesday, 28 May and Wednesday, 29 May.
  • Exhibit hall lighting will be at 50% for 30 minutes before and after official show hours.
