Indoor Exhibit Space Placement Process
The allocation of floor space at EBACE follows a structured process influenced by several factors. Each exhibitor is assigned a priority level, and the exhibits team will reach out to exhibitors to arrange space selection based on their assigned priority.
After determining the priority categories for all eligible exhibitors, those within each category will be randomly ordered. Exhibitors will then receive scheduled appointment times to join an online meeting with the EBACE exhibits team, where they can select their stand locations.
Each qualifying exhibitor will receive an email including:
- Official priority draw results
- Confirmation of their participation in the live, online stand selection process
- Detailed timeline for live, online stand selection
- Information about the live, online stand selection process
- A reminder of permissible stand configuration and hanging sign rules
Following the placement of each exhibitor, exhibitors will receive a stand confirmation email that includes their stand number and a link to the Exhibitor Service Kit.
The live exhibit space placements will begin in mid-January 2025.
Priority Levels
priority one
Includes all exhibitors that reserve a minimum of 180 square meters of contiguous exhibit space.
All original airframe manufacturers within Priority One that are displaying an aircraft either inside their exhibit space or on the aircraft display will be assigned appointment times ahead of other Priority One exhibitors.
priority two
Includes all exhibitors reserving less than 180 square meters that select the Premium Placement option.
Priority Two exhibitors who have exhibited at EBACE for at least 10 consecutive years will be assigned appointment times ahead of other Priority Two exhibitors.

priority three
Includes those exhibitors who reserve less than 180 square meters, select standard pricing, and have exhibited at EBACE for at least 10 consecutive years.

priority four
Includes those other exhibitors whose applications and full payments are received by the priority deadline of 8 January 2025, but do not qualify for Priority One, Two or Three.
priority five
Includes those exhibitors whose applications or payments in full are received after the 8 January 2025 deadline.
Priority Five exhibitors will be assigned space once Priority One, Priority Two, Priority Three and Priority Four exhibitors have been placed, space permitting.
Priority Five exhibitors are placed in the order in which applications and full payments are received.

SELECTING YOUR EXHIBIT SPACE
Exhibit space selections for qualifying exhibitors for EBACE25 will take place through a live, interactive process beginning Wednesday, 26 February 2025. Exhibitors have been assigned appointments based on their priority levels and the results of the random draw. Learn more about the EBACE25 indoor exhibit space placement process here.
IMPORTANT: Exhibitors will be sent individual Teams calendar appointment notices to speak with the EBACE exhibits team and select their exhibit location for EBACE25. Please be sure to accept the calendar invite when it arrives in your inbox. Please note that exhibitors must be paid in full for their exhibit space to be placed on the floor plan.
APPOINTMENT TIME
At your appointment time, please use the link provided in the calendar invite that will be sent to you to join your EBACE25 Exhibit Space Placement appointment. You can join using video and/or audio. The exhibits team will be sharing their screen to review the floor plan in real time.
You may also share the calendar invite with others whom you may wish to join you on the call. Each exhibitor is allotted 10 minutes to speak to the exhibit staff and select their exhibit space. As exhibit space selections are made, the floor plan will be updated online in real time.
We suggest that you monitor the floor plan the day prior to your appointment, as well as immediately before your appointment so that you are aware of available exhibit space locations for your size stand to ensure that you’re prepared to make your selection in your allotted time. Please be sure to look for space that corresponds with the size space that you purchased.
NOTE: Due to the nature of the placement process, we are unable to change your appointment time.

PROXY INFORMATION
If you will be unavailable to join at your company’s assigned exhibit space placement time, you may have someone else call on your behalf or you may submit your preferred booth numbers through the EBACE25 Exhibit Space Placement Proxy Form no earlier than eight hours before your assigned appointment time. A link to the proxy form will be shared in your calendar invitation.
When your appointment time comes, the exhibits team will work from that proxy form to make your exhibit space assignment. If the choices you provide are no longer available, the Exhibits Team will place you in the next best available space. Exhibitors who submit proxy forms do not need to call in at their appointment time.
If an exhibitor does not call in for their appointment and does not submit a proxy form, the EBACE Exhibits team will use their judgment to assign them to the best available exhibit space.
FOLLOWING YOUR SPACE SELECTION
Exhibitors will receive email confirmations of their stand numbers along with instructions on how to access the Exhibitor Resource Center to update their company profile and begin ordering services for their space once all exhibit space placements are complete.
