EBACE2024 Media Policies

EBACE LLC welcomes all accredited journalists that qualify for press credentials to attend and cover the event. These guidelines and rules are intended to provide clarity about expectations from all news media covering any EBACE events – and the steps that will be taken if anyone registered to attend and cover the show in a media capacity fails to uphold these standards.

Registration: EBACE management may approve, reject or rescind any press registrations in their sole discretion. Anyone issued a press badge must display the badge at all times during the event to clearly identify themselves.

Professionalism: Attendees and organizations at the event expect participants with press badges to adhere to professional standards as they gather news, just as they would at any public event; especially given the wide latitude the show offers to engage with all participants.

Anyone issued a press badge must identify themselves and their media organization when engaging with attendees or exhibitors, and permission for interviews must be granted before an EBACE2024 participant’s comments are eligible for documentation via video, audio, written or other forms of recording. Those issued a press badge must not enter exhibitors’ booths, aircraft or private areas without an invitation.

Participant Privacy: In addition to complying with local privacy laws and regulations, those issued press badges are expected to give all event participants their reasonable expectation of privacy.

Recording or streaming a private space or meeting is prohibited unless permission to do so is granted by the organization that holds the space (i.e., exhibitor, or EBACE LLC) and all participants.

The use or attempted use of hidden or otherwise disguised audio, video or other equipment to gather content from any location is prohibited.

License: Press registrants found to be violating this policy, or otherwise engaging in behavior that is offensive, unprofessional or disruptive to the event, may be removed from the premises and prohibited from attending future events by the show organizers.

In additional to the guidelines for press registrants above, the following policies apply to all registered EBACE attendees, including members of the press.

Security Procedures:
Participants may be required to show government-issued photo identification to enter the venue or to pick up an event badge. EBACE LLC may adopt additional security protocols, such as bag searches and limits on the size and type of items brought to the event. More information on any such protocols will be available in advance on the event website.

Badges: Participants must wear an official event badge, issued by the organizers of EBACE2024, at all times during the event. Badges are not transferable. The show organizers may remove from the event (without a refund) any participant found to have shared, sold or duplicated an event badge.

Harassment Policy: EBAA and NBAA are committed to fostering a welcoming and inclusive environment at its events and throughout the business aviation community. All participants at the events must refrain from harassing behavior and speech. Participants found to be violating this policy may be removed from the event (without a refund) and prohibited from attending future events by the show organizers.

Liability Waiver/Assumption of  Risk: All participants at the event acknowledge that their participation is completely voluntary and that they assume all risks associated with attendance at the event (including, without limitation, risks related to COVID-19). Additionally, all participants  at the event agree, on behalf of themselves, their heirs and assigns, and anyone who might assert a claim on their behalf, to release, indemnify and hold harmless EBACE LLC, EBAA, NBAA, Palexpo, Geneva Airport, EBACE partners and their respective owners, directors, officers, employees, representatives, heirs and assigns from any and all liability, claims or causes of action that may be released under applicable law arising from  or relating to attendance at the event, failure to hold the event as  scheduled and any indirect, incidental, consequential, special or  exemplary damages. This release includes any claims for personal injury, disease, death, property loss or any other loss, including but not limited to claims of negligence and any right to seek damages.

Important COVID-19 Information: COVID-19, a highly infectious disease caused by the novel  coronavirus, is associated with severe symptoms including acute respiratory issues, severe damage to lungs and other organs and death. Although the organizers of EBACE will take all reasonable safety precautions to protect the health of participants, EBACE LLC cannot guarantee that participants will not be exposed to COVID-19 during attendance at the event. EBACE LLC, EBAA, NBAA, Palexpo and Geneva Airport, in collaboration with medical and governmental  authorities, may adopt protocols (e.g., wearing a face covering, maintaining appropriate physical distance or presenting proof of  vaccination and/or negative test result) for attendees, exhibitors, vendors and other partners to protect the health of all participants. More information on any such protocols will be available in advance on the EBACE2024 website and will be sent to all registered attendees.

Data Privacy: Participants acknowledge that limited personal information may be shared with 1) health and legal authorities upon request and 2) select hotels for the purpose of auditing contracted room blocks. Except as modified in this section, personal information submitted during event registration will be treated in accordance with the EBACE privacy policy. Participants who allow their badge to be scanned by an exhibitor acknowledge that their contact information will be shared with that exhibitor.

Image Release: Any person who attends the event grants permission to EBACE LLC, EBAA and NBAA (including its employees and agents) to record his or her visual/audio images, including but not limited to photographs, digital images, voices, sound or video  recordings, audio clips or accompanying written description, and without notifying such person, to use his or her name and such images for any purpose, including advertisements for EBACE LLC, EBAA and NBAA and their programs.

Children: Children less than 12 years old are not permitted in exhibit areas under any circumstances. Children 12 years old and older are permitted in exhibit areas during exhibit hours with a valid event badge if accompanied by a legal guardian at all times. Children will not be permitted in exhibit areas during installation and teardown.

OFAC Compliance: EBACE LLC is a United States based organization and must comply with U.S. sanctions law. Each registrant  and participant represents that he or she is not currently 1) included  on the List of Specially Designated Nationals and Blocked Persons or the  Foreign Sanctions Evaders List maintained by the U.S. Treasury Department’s Office of Foreign Assets Control (the “OFAC List”); 2)  affiliated with any entity that is included on the OFAC List or that is owned or controlled by one or more persons or entities that are included  on the OFAC List that own or control 50% or more of the entity in the  aggregate; 3) included on, or affiliated with an entity included on, any  similar list maintained by other governments; nor 4) based in the Crimea region of Ukraine, the so-called Donetsk People’s Republic region of Ukraine, the so-called Luhansk People’s Republic region of Ukraine, Cuba, Iran, North Korea, Sudan or Syria. A participant who is added to, or affiliated with an entity that is added to, the OFAC List prior to attendance at EBACE2024 must notify EBACE LLC immediately.

Outboarding and Suitcasing: Registrants not affiliated with an exhibiting company are prohibited from soliciting business at the event venue (commonly called “suitcasing”) and from hosting events or exhibits outside of the event venue that are promoted to event attendees (commonly called “outboarding”). Participants found to be violating these policies may be removed from the event (without a refund) and prohibited from attending or exhibiting at future EBACE events.

Compliance with Laws and Facility Regulations:
Participants must comply with all applicable laws and all rules or regulations of the event venues. Participants found to be violating this policy may be removed from the event (without a refund) and prohibited from attending future EBACE LLC events.
